Refund policies for each program are listed below. If you have any questions about these policies please contact the club treasurer.
Smoky Mountain Winter League
Pro Vision Hockey Academy Refund Policy Pro Vision Hockey Academy is dedicated to delivering high-quality sports programs for our participants. To ensure clarity and compliance with Tennessee state laws, the following refund policy has been established. By enrolling in our programs, participants acknowledge and agree to these terms. 1. Cancellations by Pro Vision Hockey Academy If Pro Vision Hockey Academy cancels a program before its start date, all participants will receive a full refund of any fees paid. If cancellation occurs after the program has commenced, refunds will be prorated based on the number of remaining sessions and administrative costs incurred. 2. Participant Withdrawal Prior to Program Start Date: March 31, 2025 Participants who withdraw more than 10 business days before the program start date are eligible for a partial refund. A non-refundable administrative fee of $50 will apply to cover processing and administrative expenses. After Program Start Date: No refunds will be issued after the program has started, except in cases of documented extenuating circumstances as outlined below. Participants withdrawing due to voluntary reasons or dissatisfaction will not be eligible for a refund. 3. Refund Request Procedures Refund requests must be submitted in writing via email to info@provisionhockeyacademy.com at least 10 business days prior to the program start date. All requests must include: Participant’s name Program details Reason for withdrawal Supporting documentation, such as medical certificates or proof of relocation, if applicable. Requests submitted less than 10 business days before the program start date may not be considered. 4. Special Circumstances Refund requests due to unforeseen emergencies, such as: Medical Conditions: Must be supported by a physician’s statement. Relocation: Proof of relocation outside a 50-mile radius is required. Military Deployment or Natural Disasters: Official documentation must be provided. These cases will be reviewed individually, and decisions will be made at the sole discretion of Pro Vision Hockey Academy. Any approved refunds will be prorated based on sessions attended and costs incurred. 5. Non-Refundable Portions Certain program fees may be non-refundable due to the following: Administrative and processing costs. Facility rentals or equipment fees. Any non-refundable portion will be clearly communicated at the time of registration. 6. Refund Processing Approved refunds will be processed within 15 business days of receiving the refund request and all required documentation. Refunds will be issued to the original form of payment whenever possible. 7. Compliance with Tennessee State Laws This refund policy adheres to the regulations set forth by the State of Tennessee. Pro Vision Hockey Academy reserves the right to modify this policy to maintain compliance with legal standards. 8. Open Hockey
Smoky Mountain Hockey League – Open Hockey Refund Policy All Open Hockey registrations are non-refundable. Because Open Hockey sessions rely on confirmed headcounts, ice rental commitments, and limited roster spots, all payments are final once registration is submitted. Credits may be issued only under the following circumstances: Event Cancellation: If Smoky Mountain Hockey League cancels an Open Hockey session for any reason, registered players will receive a full credit toward a future Open Hockey date. Medical Injury (with documentation): A prorated credit may be issued if a player cannot participate due to a verifiable medical injury. Requests must be submitted prior to the scheduled session. Goalie Policy: Registered goalies who can no longer attend must notify us immediately. Credits are issued only if the spot is filled. No refunds or credits will be provided for: • No-shows • Schedule conflicts • Same-day cancellations • Personal travel, work, or weather-related absence (unless the session itself is canceled) All credits must be used within the current season’s Open Hockey offerings unless otherwise communicated.
SMOKY LEAGUE SUB LIST
Substitute Player (“Sub List”) & Refund Policy 1. Sub List Participation Players who are unable to attend a scheduled session, league game, or training block may request to have their spot filled by a substitute player from the Pro Vision Hockey Academy Sub List. Substitutes must be approved by Pro Vision Hockey Academy staff to ensure appropriate skill level and program integrity. 2. Eligibility for Sub List Refunds If a player’s spot is successfully filled by a substitute from the official PVHA Sub List, the originally registered player may receive a refund for that specific session or game. 3. Refund Amount Refunds issued through the Sub List will be up to the prorated value of the session, less any administrative or transaction fees. Refunds will only be issued if the replacement player completes payment for the substituted spot. 4. No Guaranteed Replacement Placement of a substitute is not guaranteed. If Pro Vision Hockey Academy is unable to fill the spot with a substitute player, no refund will be issued. 5. Notice Requirement Players requesting a substitute must notify Pro Vision Hockey Academy at least 24 hours prior to the scheduled session or game. Requests submitted after this time may not be eligible for substitution or refund. 6. Program Commitments Season registrations, leagues, development programs, and packaged training sessions represent a commitment to the full program. Sub List substitutions apply only to individual missed sessions and do not cancel or terminate a player’s overall registration. 7. Weather, Facility, or Schedule Changes If sessions are canceled due to facility closures, weather, or circumstances beyond Pro Vision Hockey Academy’s control, PVHA will determine whether a make-up session or credit will be issued. 8. Final Authority Pro Vision Hockey Academy LLC reserves the right to manage and approve all substitutions and refund decisions to maintain fairness and program quality.
